Foster carer recruitment campaign privacy notice

This privacy notice explains how your information is used when you submit an enquiry through the Plymouth City Council foster carer recruitment campaign.

Who is responsible for your information?

Plymouth City Council is responsible for your personal information and for deciding how your fostering enquiry is followed up.

CAN Digital Solutions supports the campaign on behalf of Plymouth City Council. CAN manages the campaign landing page, form and campaign reporting.

What information is collected?

The enquiry form asks for your name, email address, telephone number and postcode. These fields are used so Plymouth City Council can contact you about your fostering enquiry.

How your information is used

If you submit the form, your details are sent to Plymouth City Council so its fostering team can contact you about your enquiry.

Where requested by Plymouth City Council, your details may also be compiled in a campaign Google Sheet managed by CAN Digital Solutions on behalf of Plymouth City Council. The Google Sheet is used for campaign administration, enquiry monitoring, reporting and audit.

CAN’s campaign reports use aggregated information only. Reports do not include your name, email address, telephone number or postcode.

Who receives your information?

Your enquiry is sent to Plymouth City Council through the agreed campaign route.

CAN Digital Solutions may access form data where this is needed to manage the form, campaign reporting or a client-requested Google Sheet.

CAN does not access Plymouth City Council email inbox or decide how your fostering enquiry is followed up.

Advertising cookies, pixels and audiences

The campaign landing page uses a Consent Management Platform.

Optional advertising cookies, pixels and similar technologies only activate if you choose to allow them.

Where you give consent, these technologies may be used to measure the campaign, understand whether people make an enquiry, improve future advertising, support retargeting and create audiences exclusively for Plymouth City Council campaigns.

Audiences created from this campaign will only be used for Plymouth City Council campaigns. They will not be used for campaigns for other councils or organisations.

Audiences created from this campaign will not be used for sensitive campaign categories unless this is separately assessed and approved.

Your form submission details are not uploaded to advertising platforms for audience creation.

Advertising platforms may process advertising interaction data, conversion data, pseudonymous identifiers, pixel/event data, audience data and platform reporting data where you give consent. The role of each advertising platform depends on the relevant platform, service and processing activity. Some platform services may be provided as processor services, while other advertising, measurement, audience and platform operations may involve the platform acting as an independent controller or joint controller under its own terms.

CAN does not reuse your form submission details, campaign audience data, pixel or event-level data, platform identifiers or remarketing list data for campaigns for other councils or organisations.

How long your information is kept

Jotform submissions are retained while the campaign is live, then deleted within an agreed close-down period unless Plymouth City Council instructs otherwise.

Where a campaign Google Sheet is used, it is retained while the campaign is live and Plymouth City Council requires access. For always-on campaigns, continued retention is reviewed at least annually.

Plymouth City Council retains enquiry records in accordance with its own retention policy.

Redacted reporting information that does not contain personal data may be retained for reporting and audit.

Your rights

You have rights under data protection law, including rights to request access to your personal information, correction of inaccurate information, and deletion in certain circumstances.
